The need

Witte Bouw had been working with BouwInfosys for some time. From there, the company followed the development of digital invoicing. Because Witte Bouw operates in the utility industry, it regularly fulfills assignments for government agencies. Over two years ago, these indicated that digital and electronic invoicing was becoming a must. As part of this and in view of a growing need to save time, Witte Bouw went in search of a solution for processing procurement invoices digitally.

A very positive aspect of Whitevision is the clear vision of subcontractors and suppliers that Witte Bouw now has: “If the subcontractor still has to do certain things, you can withhold an invoice. Others then also know about this. This means that everyone can look up and view the invoice in the history of documents. So you can quickly check what you have discussed about a particular invoice.” Once everything is settled and agreed upon, Linda has immediate insight into this: “Then a button comes on that allows me to see that I may pay out the invoice. This process from Whitevision provides much more transparency, efficiency and time savings. You know exactly what question to ask who. Each invoice goes directly to the right person and on the screen you have a clear overview of the status of the invoice. That works very easily.” The seamless connection to the BouwInfosys package is also a big advantage: “We never have to browse through a folder to find an invoice again. Everything is at our fingertips. In addition, we can add and send attachments later. Very handy!”

The implementation process was very smooth and clear. Linda: “Someone came by to explain and walk us through the solution. I then called and emailed several times with questions. Whitevision picked these up quickly and responded well – exactly as we were promised.” Although Linda can easily use Whitevision’s portal to ask additional questions, she doesn’t often have to turn to this channel: “You pick up Whitevision’s solution quickly and work with it easily. If I do have a question, I send it in directly through the portal. Whitevision always returns a message quickly. If something is wrong, we solve it together. But actually this rarely happens.”

Whitevision’s innovative attitude is contagious to White Construction. Meanwhile, the company is preparing to expand the solution with additional modules: “We want to start processing order forms digitally as well. After all, it’s increasingly about arranging things digitally and being able to access all the necessary information – even when you’re on the road, for example. That is the future. Whitevision is very much working on this and we would like to use their solutions for this.” In short: Linda is very satisfied with Whitevision’s solution. She would therefore definitely recommend it to others: “We are here with 2 project managers and for us it is already incredibly pleasant that they can see the entire purchase invoice processing. I can imagine that this is only even more convenient for larger companies, where there are many people on a project who all have to approve a purchase invoice. Moreover, I would definitely recommend construction companies to work with Whitevision. From experience, I can say that the solution works very well with BouwInfosys!”
