AC Borst Bouw is a traditional family business that has been around for 105 years. Renovation, maintenance and repair of social real estate and homes: that is what AC Borst Bouw does every day. The company is committed to bringing new life to existing real estate in a sustainable way. Clients are organizations in the housing, working, shopping, education and care sectors. AC Borst Bouw deploys various instruments to serve them optimally, but at the same time the end users come first when developing plans: their wishes and requirements are the inspiration. This approach leads time and again to a qualitative result.

The need

AC Borst Bouw was working with a solution for digital invoicing, but it turned out that it did not offer all the desired conveniences. For example, all incoming invoices were sent to an overseas location, where they were manually retyped. AC Borst Bouw then received the retyped versions some 48 hours later. This could and should be done faster. So the company began looking for a more efficient procurement invoice processing solution.

The solution

Through Kraan Bouwcomputing and its own network, AC Borst Bouw soon came across Whitevision. The recommendations made the company decide to request a demo. After seeing this, the ball quickly started rolling. The solution turned out to be efficient, fast and simple. AC Borst Bouw was eager to get started. The company initially chose WhiteVision’s scanning and recognition solution. In spring 2018, it also took the Line Recognition module into use so that invoice lines are also processed automatically.

“Whitevision’s solution offers a lot of convenience,” says Rob van Essen, controller at AC Borst Bouw. “We were already used to digital invoicing, because our former director was the initiator and a major initiator of Sales in Construction. So, as a company, we were caught on that track early on. We have been working with all the packages from Crane Construction Computing for 25 years. But our former solution for digital invoicing could really be better.” Crane recommended that AC Borst Bouw take a look at Whitevision. And the solution turned out to be a success: “The scan and recognize function for incoming invoices has saved us a lot of time and efficiency. So for us, this is a very practical solution!”

“We used to receive only paper invoices, all sitting on a desk for processing,” Rob says. “We had to put stamps on the documents and perform all kinds of operations to process them. After approval and payment, we stored them in folders. That was a long and error-prone process.” Now the company receives invoices in 3 ways – and Whitevision has a solution for each format. “We can read an XML file without having to do anything for this. If we receive a purchase invoice in a PDF file, we just have to drag it into the system. Occasionally we also receive paper invoices. We scan these in, then quickly process the resulting pdf file.” The purchase invoices are then read – largely automatically – and booked into Kraan’s financial package.

Rob considers the reduction of error proneness a major advantage of Whitevision’s solution: “In the past, purchase invoices were sometimes read incorrectly, for example, when two company names looked alike. But now when we read an invoice, it is in the name of the creditor. The system recognizes it immediately.” In addition, AC Borst Bouw likes the fact that all invoices can be found in one central location. “We are growing and receive more and more invoices, so it is important for us to save time. Now when we want to find an invoice, we are no longer agonizingly searching through alphabetically ordered folders. Whitevision has ensured that all procurement invoices are stored in one place.”

AC Borst Bouw has now been working with Whitevision for almost 3 years. Within that period, Rob has found the system to be stable. “It is a good product and the link with Crane is functional. We also find it a user-friendly system.” The implementation went smoothly and fairly quickly. Since then, the company has called in the support department several times. This has also provided good experiences: “When we contact Whitevision, we are helped well. And if we indicate that something could be improved, Whitevision takes it seriously. We can really figure things out with each other. In short, we are simply satisfied!” Rob therefore sees the future in a bright light: he definitely expects to continue working with Whitevision.
