Barli specializes in modular building systems and builds them out of wood. In its own mega workshop in Uden, the company works very efficiently on sustainable vacation homes, houses and apartments. With its modular timber construction method and malleable housing concept Barli Base, the company shows that building can be more sustainable and efficient. More than 30 years ago, Barli was already a pioneer in prefabricated construction. And today it is still an innovator in the industry.

The need

Barli is getting bigger and bigger. This means that the number of incoming invoices is increasing. The company was already working with a scan and recognize solution, but at one point it no longer met the company’s requirements. Too many operations were still required to process purchase invoices, in part because the OCR software at the time did not interface with ERP system 4PS. Barli needed a seamless connection that would really minimize repetitive work. So it started looking for another automation solution.

The solution

An employee had worked with Whitevision in the past and was very positive about the overall solution. Some preliminary research revealed that Whitevision was a partner of 4PS. The two systems turned out to be an excellent fit. In addition, the company was very enthusiastic about Whitevision’s self-learning capability: this would save a lot of time in the purchase invoice processing process. These advantages resulted in a concrete decision: Barli made the switch to Whitevision.

“We save an awful lot of time with Whitevision’s self-learning system,” says Miriam de Kroon, financial officer at Barli. “You already start with high recognition. But in the long run, if you train the software properly, you don’t get to see invoices at all!” This is the first system Miriam has worked with in this way: “With Whitevision we have realized an efficiency boost, because it offers very many possibilities. An example: recently we decided to send back invoices that did not meet our requirements to suppliers. What turned out? Within Whitevision, there is an option to use a template for this purpose. You only have to set up the e-mail once. Then, with the click of a button, Whitevision fills in all supplier data. The invoice is also attached immediately. That saves a lot of manual handling!”

How exactly does the purchase invoice processing process with Whitevision work? Miriam explains: “An invoice arrives in our invoice mailbox, which is linked to Whitevision. The OCR system reads the document and places it in our workbook. Most invoice data is already trained.

And what happens after approval? “Then the code in 4PS goes off and we can proceed to payment. The invoice is also immediately archived digitally, so you can refer to it later at the touch of a button.”
