BasisBuren
BasisBuren is an educational institution that provides public, generally accessible education in the municipality of Buren and in Kapel-Avezaath in the municipality of Tiel. The schools each have their own face. BasisBuren organizes education from three core values: ‘development and growth’, ‘diversity’ and ‘together’. The institution believes that the school is not an island, but stands in the middle of a continuously changing world. BasisBuren wants to prepare children for this as well as possible. Not only by teaching them knowledge (because it quickly becomes outdated), but also by letting them practice the skills that society demands today.
The need
BasisBuren processed incoming invoices manually. As a result, booking an invoice into the financial system took far too much time. The organization was eager to improve efficiency. So it started looking for a solution for digital invoice processing.
The solution

With Whitevision, we work more efficiently and faster,” says Han Bisselink, controller at BasisBuren. “In addition, the risk of error is a lot lower, because we no longer suffer from over-typing errors. Of course, you always have to check whether the scan and recognize system has recognized all the invoice data correctly, but in fact this is almost always the case.” And the few times it doesn’t, you can train the system. Han: “We taught the software which general ledger account and cost center an invoice should be posted to. In addition, we have another dimension: the cost carrier. With the training function, you simply indicate that the system must also recognize these things. The next time, the recognition then goes completely right. Very helpful!”
Since BasisBuren has been processing purchase invoices with Whitevision, the process is much smoother and more efficient. Han is happy to explain: “When invoices arrive in our invoice mailbox, we drag them to a separate folder. Then we can read the invoices into Whitevision. There we only need to click on them. The system recognizes the invoice data, and then we indicate any coding or specify an approver. Once this is done, I process the invoice as an entry in our records. And that completes the process!”
The fact that Whitevision and AFAS have a solid partnership is something Han notices in everyday practice. “The link with AFAS works very well,” he says. “When I have fully processed an invoice in Whitevision, the system makes the link to automatically put it into our ERP system.” This example illustrates well how user-friendly Whitevision is: “When I joined BasisBuren, I had to learn how to work with Whitevision. That went very smoothly. Of course there are all kinds of great features in it that you discover along the way. But you master the basics of the system very quickly – especially if you work in financial administration.”
About Whitevision’s support, Han is very satisfied. “Whitevision works quickly and always keeps you informed,” he says. “The other day, for example, I had a small problem. Although it was not really urgent, Whitevision came quickly with an answer. The issue was neatly settled in no time.”
According to Han, questions are handled in a very structured way: “You log into Whitevision’s customer portal, where you submit your question. After that, Whitevision starts working on it. Sometimes you get feedback through the portal. But if necessary, a support person contacts you by phone.
