Eurotransplant

The Eurotransplant Foundation is a service organization for cooperating transplant centers, laboratories and donor hospitals within eight countries. It is committed to the optimal use of available donor organs by making the best possible match between donor organ and recipient. Organ allocation is based on medical and ethical grounds. Within the democratically set up organization, doctors, scientists and policy makers have input into Eurotransplant’s policy and working methods.

The need

Initially, Eurotransplant processed all incoming documents on paper, by hand. As a result, the process was extensive. The organization wanted to be able to assign tasks more easily by digitizing. This efficiency measure would save time and reduce the risk of making mistakes. Eurotransplant also wanted to eliminate paper documents.

The solution

Eurotransplant worked with AFAS and was looking for a system that could process incoming documents within this package. Whitevision offered the solution: the solution could be seamlessly connected to AFAS and could effortlessly process documents digitally. The collaboration was a fact!

“Since using Whitevision, we can process incoming invoices much faster,” says Rogier van den Oord, functional administrator at Eurotransplant. “The invoice is scanned into Whitevision, recognized by SMART-OCR and assigned to an owner. This owner checks whether the amount is correct, after which the invoice enters AFAS. There, using the workflow, the invoice is assigned to the person who takes care of further processing.” Not only the processing turnaround time, but also the control process is greatly improved as a result. “It is no longer necessary to enter information. Everything is transferred digitally into the system. We then only have to check that all the data is entered correctly.” The result: fewer errors. Especially for Eurotransplant, this is an important element. “For us, it’s a bit more complex. We handle incoming documents from hospitals differently from invoices from suppliers. These are two different groups and we were able to incorporate them into the system.”

The purchase invoice processing system now runs in a very structured way at Eurotransplant. “Within AFAS, we work in workflows. We deploy tasks to certain groups. For example, there are two employees who scan incoming invoices and process them in Whitevision. Each invoice has a unique barcode, which Whitevision recognizes for us. The system ensures that each invoice ends up in the right group.”

If you ask Rogier, Whitevision is incredibly reliable. “If a problem is identified, Whitevision picks it up to get to the bottom of it and find an appropriate solution.” But not only the support is good. Whitevision also thinks along with the customer: “A while ago I indicated that I saw something unusual in the system. The support department then really worked with me to find out where this was coming from.
