Gebrs. Kurvers Wegenbouw is a modern, all-round company in the field of infrastructure works. As a provider of high-quality civil engineering services, Gebrs. Kurvers Wegenbouw has built a solid name in Limburg. His road construction has been a household name in the province for over 55 years. Since 2001, Gebrs. Kurvers Wegenbouw has expanded with the storage and transshipment company De Beitel, where clean building materials are stored and transshipped. Soil, asphalt, sand, rubble, green waste and soil are also processed here. Kurvers Transport also has a modern fleet of vehicles, which provides low-loader transport.

The need

For Gebrs. Kurvers Wegenbouw, there were quite a few snags in the purchase invoice processing process. It was very complex to keep everything together. Employees who checked invoices often did not put them back. As a result, invoices regularly got lost. That caused problems. It was high time to tackle the process more efficiently, Gebrs. Kurvers Wegenbouw thought. The company started looking for an automation solution.  

The solution

Gebrs. Kurvers Wegenbouw asked BouwInfosys if there was a way to scan purchase invoices and get them directly into the ERP system. An account manager recommended Whitevision, upon which Gebrs. Kurvers Wegenbouw requested a demo. The company was very positive about that – Whitevision offered a solution to the existing problems around purchase invoice processing. Gebrs. When someone asks a question about an invoice, I no longer have to run to the folders in our filing cabinet. I open the invoice on the screen and check it. Losing an invoice simply isn’t possible anymore!” In addition, Marjo likes the fact that approvals run smoothly via Whitevision Workflow: “The system indicates who is approving an invoice, asks for approval and transfers the invoice to me after approval. I can see at a glance whether an invoice is approved. This prevents problems, discussions and errors. Very pleasant.”

Marjo thinks the purchase invoice processing process with Whitevision is very smooth. “When an invoice arrives in our invoice mailbox, I drag it into the mailbox of one of our four PLCs,” she says. “Then I open our accounting system, where the invoices are neatly ready to be processed – including attachments, receipts and other associated documents. We always maintain an overview and nothing can ever get lost. Whitevision also ensures a streamlined process: until an invoice is approved, it is blocked in the accounting system. Only after approval can I unblock, process and pay it. This way I can be sure that no mistakes are made!” Whitevision also prevents errors when suppliers send an invoice twice: “The system doesn’t pick that up. If a particular invoice number has already been processed once, Whitevision alerts you. Very nice, because with manual processing you quickly overlook this and you could accidentally process such an invoice twice.”

The fact that Whitevision is a self-learning system is convenient: “If an invoice element is once not recognized at once, you can indicate with a simple click what the system should recognize. That way it gets it right next time!” In addition to smart, good OCR software, other aspects of Whitevision are also of interest to Gebrs. Kurvers Wegenbouw. “We wanted to be able to link invoices to the specifications administration, and that turned out to be possible from Whitevision. In addition, Whitevision works extremely well with our ERP system, BouwOffice. The systems connect seamlessly. That works very nicely.”

What Marjo experiences as a great advantage is the user-friendliness of Whitevision: “The learning curve is absolutely not great. If you are a bit handy, you can handle it very easily. During the implementation, our Whitevision consultant explained everything in detail. That took one afternoon and then we could get to work ourselves.” If Marjo does have a question, she can contact Whitevision’s support team: “Via the customer portal, you submit your question, after which a support employee emails or calls you. That goes very well – we always get a quick response. Whitevision is a very customer-friendly company. “Marjo sees the future of Gebrs. Kurvers Wegenbouw therefore definitely sees a place for Whitevision: “All your purchase invoices are directly in the accounting system and immediately visible.
