Hurks
For more than 100 years, Hurks has been a proven professional service provider in the construction and real estate world. The thoroughbred family company, which now employs about 450 people, aspires to and realizes a wide variety of projects in various disciplines: housing construction, urban development, high-rise construction, maintenance and retail. Hurks does this mainly in the Eindhoven area and in the Randstad.
The need
Until a few years ago, Hurks still worked in a fairly authentic way. Digital invoices were first printed and provided with a unique barcode and then fed back into the workflow. In addition, the company had two different configurations: one for utilities and one for housing. This created an inefficient workflow. Furthermore, it was inconvenient that each invoice had to specify who had to approve it.
The solution
Hurks wanted to process and register invoices in a fast, efficient and reliable way. With Whitevision, the company was able to achieve this objective. An integration with Dynamics NAV made it possible to automatically link invoices to the right employees. Also, approvers now received an automatic signal via Whitevision Workflow when an invoice was ready, which greatly improved turnaround time. The fact that Whitevision contributed solutions also gave Hurks a good feeling.

“The recognition function of Whitevision’s scanning and recognition solution is very reliable,” says Sam Admiraal, who has worked at Hurks as functional application manager Dynamics NAV since 2014. “In addition, we have been able to bring invoices into the Whitevision Workflow faster, which has resulted in an efficiency gain.” Hurks now asks its suppliers to deliver as many invoices as possible digitally: “The software has been made so intelligent that these invoices end up in the Workflow based on company recognition. An administrative employee only has to check them and then make a proposal to itemize the invoice. The project manager or director then has to approve it. This system has created a lot of joy among our administrative staff!”
“Without the integration between Whitevision and our ERP system 4PS Construct (Navision), which focuses specifically on the construction and installation industry, we would not have been able to achieve our goals. In fact, we would still have had to do double work,” Sam explains. “So the great strength of Whitevision’s solution is that it works extremely well with 4PS Construct (Navision). Whitevision recognizes the invoice and brings it into our system. That goes flawlessly, also in 4PS Construct (Navision). So we don’t have to worry about that at all.” Moreover, Whitevision’s solution has ensured that fewer mistakes are made: “If you process invoices manually, employees can make a mistake and put the wrong project number on the invoice. This then does not reach the correct project manager, which all costs extra time and work. With Whitevision, both the processing and approval processes are more fluid and error-free.” Because Whitevision continues to develop continuously, the integration is only getting better: “Follow-up steps are to also differentiate AK invoices immediately to the correct cost center and to code project invoices immediately to the correct cost carriers. Whitevision’s rule recognition will help in those areas.”
“Whitevision is a product that can meet a lot of needs. I can imagine that this also makes it complicated to implement, since every construction company claims to work in the same way, even though we are all unique. That Whitevision is nevertheless able to meet our needs every time to our complete satisfaction, I find truly admirable.” Sam points out that Whitevision’s application is very approachable for the end user. “A manual is not even necessary. Processing invoices goes smoothly and approving or rejecting them is something anyone can do.” This was partly due to the smooth implementation: “We were included in the whole process. Of course, I also directed that from my position; for example, everyone could write down points of interest and when the Whitevision consultant came along, we addressed those issues. That went very well. Indeed, Whitevision’s staff take a very transparent approach and always get back to us on everything.”
Another point Sam appreciates is that Whitevision thinks along with Hurks and only thinks in terms of solutions: “You don’t really have to explain anything. The professionalism radiates from them. When I sat down with Whitevision’s Product Manager, I immediately got the impression that he knew exactly what we wanted, what we were up against, what we needed and what was going on in the market. The cooperation with Whitevision is fine – even when Hurks needs support. “In general that went very well, especially in the beginning. Then we had to call in help more often. It was clever that the support person stayed so calm, took every problem very seriously and took his time with us. He was able to explain exactly what was going on and how we were going to fix it.” That was something Sam found special: “I’ve never seen someone switch from one thing to another so quickly.” There is also room for improvement at Whitevision: “A lot of new developments are taking place within Whitevision. A while ago I indicated that this could be communicated more actively. Something is being done about this. For example, there are now user days where Whitevision explains more about the possibilities and points of development. As a customer, you can attend these.” In short, Hurks is satisfied with Whitevision. For now, therefore, the company has no plans to switch to another solution. “Whitevision is always developing further, for example in the area of Sales in Construction and rule recognition. With that, we can also eventually make everything more efficient and less error-prone again.” Whether Sam would recommend Whitevision to other companies? “If you process as many invoices as we do, I would say yes!”
