The need

Until about two years ago, Jansen & De Wit was still processing purchase invoices manually. Most of these came in by mail, but employees had to print them out, stamp them, book them and collect the appropriate signatures. The approval process was through physical mailboxes, which sometimes caused invoices to get stuck or lost. Greater efficiency, insight and control were needed. Therefore, Jansen & De Wit went looking for an automation solution for processing incoming invoices.

The solution

Jansen & De Wit was looking for software that would interface with accounting package Nocore. On the advice of the ERP vendor, the company contacted Whitevision. From the on-site demo, Jansen & De Wit got very excited. The system proved to offer many opportunities to tailor the setup to one’s own business needs. Jansen & De Wit hesitated no longer: it wanted to work with Whitevision.

“Whitevision absolutely lived up to our expectations,” says Chantal ten Hoor, assistant controller at Jansen & De Wit. “Purchase invoice processing now takes us less time. Moreover, the process no longer requires us to perform an executive task. It includes only a control task. As a result, we have room for more enjoyable tasks that are challenging and coordinating in nature.”

In addition, Jansen & De Wit was able to handle its growth more easily with Whitevision: “We have acquired a number of companies. Their invoice flows now also come to us. So the pile of incoming documents is increasing. But with Whitevision, compared to before, we can process more invoices in the same time frame!”

What Chantal really likes about Whitevision is that the software takes over all invoice processing. “The system sets up the booking,” she says. “It fills in things like invoice number, due date and VAT amount. If there is a description, Whitevision can also recognize it.

Chantal is very pleased with the implementation process: “Whitevision consultant Tobias came to our office to set everything up. He also gave us a training, which we found very useful. We learned about the whole package and discovered how to train invoices. Tobias also showed us how to set everything up correctly once. That ensures that after that you actually have to do almost nothing yourself.”

Excellent interfacing with Nocore was an important factor in choosing a purchase invoice processing solution two years ago. How do you like the integration in practice? “Whitevision and Nocore fit together very well,” says Chantal. “When we’ve processed an invoice, it’s almost immediately in our ERP system.”

Summary: Jansen & De Wit is very satisfied with Whitevision. “The total solution takes a lot of work off our hands,” says Chantal. “We now know exactly where an invoice is and its status. Gone invoices are a thing of the past. In addition, all paperwork is gone from our desks!”

Chantal would therefore definitely recommend Whitevision. “You work more efficiently, save time and have much better insight into the status of invoices. Those are very big benefits for a company!”
