The need

Kesselaar ZN was using an ERP system that employees started working around over time.
They were increasingly working with Excel files and team members were unnecessarily duplicating work.This was at the expense of efficiency. Failure costs and wasted time in processes were the result. Kesselaar ZN decided it was time to use a new system to automate the bookkeeping process. On the one hand to work more efficiently, and on the other hand to be ready for the (digital) challenges in the construction industry.

The solution

After a search, Kesselaar ZN chose ERP system 4PS Construct. Soon, partner Whitevision came into the picture. The ERP vendor explained the close cooperation between the two parties and indicated that Whitevision would be extremely useful in view of the plans for further automation.
Kesselaar ZN invited Whitevision to the office and received an explanation of the possibilities.The decision was quickly made: Whitevision’s link would definitely add value to the company.

“What I like about Whitevision is that it is based on optimized process flows,” says Ferry van Wilgenburg, managing director of Kesselaar ZN. “Whitevision and 4PS Construct have standardized processes, to which various roles are linked. The strength of this is that you can see where an invoice is at any time. Moreover, this also allows us to use Whitevision to bring in orders in a standardized way.” Since Kesselaar ZN has been using Whitevision’s solution, everything runs a lot more streamlined: “We easily place tasks, responsibilities and authority in the right place. That suits our business philosophy!”

A big advantage of using Whitevision? “The empty desks,” says Ferry. “For sustainability reasons alone, we wanted to get rid of paperwork.With Whitevision, we made the digitization step necessary for that.” The office picture used to be different: “There were piles of purchase invoices on the desks that employees ‘had to do something with.’ Whitevision helps us keep track of where invoices are in a digital way. As a supervisor, I can easily check where invoices are piling up so I can contact the right person. And if someone is sick one time, the purchase invoices are not in a mailbox that nobody looks at. We have a better overview and more insight, allowing us to see very clearly where processes are running smoothly and where they are faltering.”

With Whitevision, Kesselaar ZN can coordinate the flow of procurement invoices a lot easier – a challenge for companies that receive invoices digitally. “Invoices come in many ways and in various forms,” says Ferry. “If we agree on standards with the client, Whitevision can scan the incoming invoices and automatically put them into 4PS Construct. That saves us a lot of typing. In addition, digital purchase invoice processing allows us to work much more efficiently. So we also benefit from major cost savings.” For Ferry, the obvious advantages of Whitevision mean a realization of the initial promises: “You sometimes see parties presenting something at the front end that they cannot ultimately deliver. This is absolutely not the case with Whitevision. The theory matches the practice. The solution does what it is supposed to do and what we expect of it. Very pleasant!”

Whitevision’s support team has not had to call on Kesselaar ZN very often. “Everything is running fine,” says Ferry. “Moreover, Whitevision and 4PS Construct fit together seamlessly.” The few times that Kesselaar ZN needed help, the process went smoothly: “Whitevision solved our question in a good, pleasant way. The team is skilled. I noticed that when Whitevision’s implementation consultant came to our office. He really knew what he was talking about.” That the future looks bright is obvious. “If Whitevision continues to work this way, the solution will continue to play a role with us over time. It doesn’t occur to me to switch to another link. That would be a waste of my time.” Ferry would undoubtedly recommend other construction companies to work with Whitevision: “If you are considering a switch, I say do it.
