The family business, which has now been around for some 60 years, wants to get the best out of itself and its chain partners out of its passion for livestock. The need

For PALI Group, it was important to process incoming invoices in the simplest way possible. A prerequisite was that employees would be able to perform all operations within the system. After the scanning and recognition process, PALI Group wanted to be able to book invoices into the ERP system at the touch of a button. With these requirements in mind, the company started looking for the right automation solution.

The solution

Whitevision offers several features that proved useful to PALI Group. Because the company deals with a variety of exceptions (in part because of the nature of the industry in which it operates), the flexibility of the solution was a deciding factor. Especially compared to other parties, Whitevision was able to easily incorporate modifications. This was ideal for PALI Group, which was thus able to implement an efficiency improvement.

“Whitevision implemented the system in such a way that the solution meets all our needs and requirements,” says Arnaud Rijkeboer, manager of operations at PALI Group. He is responsible for information-oriented improvement projects and manages an administration of 14 people. They dedicate themselves to all companies under PALI Group, which means they have to perform many different operations. What is essential in that context? Flexibility. Arnaud: “We often work on different dimensions. Whitevision proved to be able to include these very easily in the purchase invoice processing process. And although we work with 17 administrations, Whitevision neatly puts the invoices for these in one overview. We don’t have to log into multiple accounts – the system recognizes a purchase invoice and puts it in the right administration when booking. So Whitevision is flexible enough to provide an efficiency boost for our complex administration as well.”

With the use of Whitevision, the procurement invoice processing process runs very smoothly. “When an invoice arrives in our mail account, it is automatically transferred to Whitevision,” Arnaud explains. “After the smart OCR software recognizes the invoice data, an employee checks that this has gone well. With a new supplier, it is sometimes necessary to train the system for a while. Because the software is self-learning, you only have to do this once. We therefore find the training function very convenient.” Once all the data is in the correct fields, PALI Group’s financial administrative staff transfers the invoice to the ERP system with the push of a button. The company switched to the cloud version of Microsoft Dynamics Business Central last year and has also been using Whitevision’s workflow software ever since: “This has provided a much better overview. In fact, previously approvers had to browse through all 17 companies to see where invoices were ready. With Whitevision’s solution, they get to see one list of all companies. And we have set up that they get a notification every week regarding invoices that are ready.”

What, specifically, did Whitevision PALI Group’s solution provide? “Efficiency and correct information,” says Arnaud. “From my role, I pay very close attention to these things. Because you should always strive for the most error-free administration possible, both in terms of accuracy and time savings. With the use of Whitevision, the error rate has definitely decreased – especially now that we know how to use the training function properly.” PALI Group took advantage of the implementation of the new ERP system to make yet another efficiency improvement in this area: “We took another look at training Whitevision’s SMART-OCR. That has paid off. Now that the training is even better, the whole process is also more efficient: we perform even fewer manual operations and have further reduced the error rate.”

Arnaud praises Whitevision’s willingness to think along with the customer in a solution-oriented way: “Whitevision always looks at how things can work for ón us. For example, when I indicated that we wanted to receive e-invoices via a particular e-invoicing network, Whitevision suggested we do a pilot with them. This has been successful, allowing us to continue doing our approvals in one system.” As Whitevision takes an innovative approach and continues to capitalize on trends such as e-invoicing, Arnaud envisions a long-term partnership: “With Whitevision, we achieve the goals we set for ourselves. For example, we used to have 600-700 invoices open at the end of the week. We wanted to drastically reduce that number. Now that we use Whitevision in conjunction with our new ERP system, by Friday afternoon there are no more than 50 outstanding invoices.” Arnaud is not thinking about working with another system: “Whitevision meets our needs and is also cheaper than alternatives that claim to be able to do the same thing.
