The need

Raedts receives many service orders. Requests for repairs and preventive maintenance generate an influx of invoices and receipts, which the company must process quickly and correctly. When Raedts’ growth accelerated, the 3 administrative employees were on their toes. It was time to optimize the ICT environment. Among other things, a technology had to be made available with which the company could process service orders and invoices with many lines even more efficiently.

The solution

Since 1994, Raedts has been using ERP system 4PS. In addition, the company has been working with Whitevision’s purchase invoice processing solution, which is linked to it, to great satisfaction for years. As Raedts grew faster and faster, it decided to talk to its Whitevision consultant to get even more out of the solution. Soon both parties concluded that some additional features would help the company work even smarter and faster.

“We invested a lot in expanding our Whitevision solution, but we have more than recouped that investment,” says Rob Kessels, manager of finance and controlling at Raedts. “Our administrative staff now have much more time to think along with the purchase invoice processing process. They no longer have to retype data, allowing them to see along at a higher level . That’s what you want.” Especially within an organization like Raedts, this is important, as more than 20,000 invoices a year come in, each requiring proper processing. “We really needed customer-specific solutions so that handling would be faster and we would make fewer human errors. Raedts expanded its Whitevision solution with 3 additional features. “First of all, we modified the approval process,” Rob explains. “A few simple changes have ensured that we now have 2 rounds of approval and that an invoice can still circulate quickly within the organization.” In addition, the company opted for matching, so that purchase invoices are automatically matched with orders. Line recognition has also been implemented: “We receive invoices on which there is a lot of data. On a lease invoice for a car, for example, you see the license plate number and the driver. Therefore, there are a lot of rules on it. Our Whitevision consultant helped us create some standard templates. As a result, the system automatically recognizes the creditor, cost center and rules and can process such invoices immediately. We used to have to retype the lines, but now we can put invoices through immediately. That has saved a huge amount of time!”

When Rob started working at Raedts 3 years ago, he had some skepticism about a purchase invoice processing solution linked to the ERP system. But the company had been working with Whitevision for some time, which meant Rob had to learn about it. Soon his reservations disappeared like snow in the sun: “Processing the incoming invoices is so easy!
