Roozen van Hoppe Groep

A versatile, independently operating real estate developer and construction partner: that’s the Roozen van Hoppe Group. The company operates at the intersections of area development, property development and construction. In 1964, the Roozen van Hoppe Group began as a building materials dealer. Today, the organization is closely involved in specific (development) issues. Time after time she realizes groundbreaking, innovative concepts. The need

Processing purchase invoices was done in a very cumbersome way. Employees retrieved invoices from the mailbox and put them in a specific folder on a particular drive. If there were multiple pages, this was often a problem. And processing each purchase invoice took a lot of time, because all the data had to be entered manually: from supplier to customer number. That could be done better, the Roozen van Hoppe Group decided. The company went looking for an automation solution for purchase invoice processing.

The solution

When Roozen van Hoppe Groep came into contact with Whitevision, it immediately saw a number of positive points. Whitevision appeared to have a good partnership with ERP supplier KRAAN as well as offering a solid link. Whitevision’s scanning and recognition solution offered the Roozen van Hoppe Groep the possibility of processing purchase invoices in a much smarter way. The company quickly made the decision: it decided to process incoming invoices digitally with Whitevision from now on.

“Whitevision has saved us a lot of time in the first place,” says Niek van Eerd, assistant project controller at the Roozen van Hoppe Group. Together with two colleagues, he monitors the projects financially. Avoiding errors is important here: “We find that Whitevision really helps with this. The accuracy has increased a lot since we started using the solution, because the system always recognizes the amounts correctly. It is no longer possible to accidentally type in the wrong VAT amount. It used to happen sometimes. Understandable, because if you enter so much data manually every week, you sometimes make a mistake. With Whitevision we no longer have that problem. The system even prevents errors: for example, if an invoice has already been posted, Whitevision alerts us by showing a red light. As a result, it is actually no longer possible to book the same invoice twice!”

“Whitevision in three terms? 'Time saving,' 'accurate' and 'easy'!”

A good start is half the battle. That’s why Whitevision went through a thorough implementation process with the Roozen van Hoppe Group. “That went very well and easily,” recount Niek. “We have several PLCs and wanted to use the solution for our two largest administrations. Whitevision set everything up with us, after which we were able to get started right away. It is a very user-friendly system: if you have read an invoice twice, you know how Whitevision works.” How exactly procurement invoice processing works, Niek explains clearly. “When invoices come in to our invoice mailbox, we put them into Whitevision. Attachments can all be easily put together in Whitevision. Then it’s just a matter of pressing the right button to get the system to work. In our accounting system, we then pull up the invoice immediately. Recognition is high, so by far most of the fields are filled in. If once the system does not recognize something immediately, you can use a feedback button to indicate what it should have recognized. That way, the system knows what to do next time. That self-learning aspect is very handy.” And what do Niek and his colleagues do after they have checked the invoice data? “Then we forward the invoice to the right person, who just has to book her!”

About the contact with Whitevision, Niek is satisfied. “Actually, I only had to call in the support team once,” he says. “The problem was then solved in no time. So my experience with the support team is very good!” The fact that the Roozen van Hoppe Group needs so little support is a good sign. Niek: “The link with our ERP system, KRAAN, is seamless. And Whitevision is very easy to use. After the latest update, working in the environment has become even easier. Editing and combining invoices was already easy, but now it is even easier. Whitevision does continuous development and I am very positive about that.”

Whether Niek thinks the Roozen van Hoppe Group will continue to work with Whitevision for the time being? “I wouldn’t know why we wouldn’t. WhiteVision offers an excellent scanning and recognition solution that is very pleasant to work with. Everything runs smoothly. I don’t really have a negative word to say about Whitevision!” Niek would therefore definitely recommend the solution to other companies within his industry, “I have no doubt about that. I am familiar with two scanning and recognition solutions, but Whitevision is the solution – especially for construction companies.”
