Conceptual service builder Trebbe is a family business that has been around since 1911. The need
When the construction crisis hit, many construction companies started looking for ways to cut costs. Trebbe heard stories everywhere about systems that could facilitate the digital processing of purchase invoices. So the company decided to look for the best scanning and recognition solution.

“With Whitevision’s solution, we have digitized our administration,” says Laurens Olde Nordkamp, deputy director of finance at Trebbe. “Now we can process many invoices with fewer people, making the entire procurement invoice processing process a lot more efficient.” This results in more time: “People can process invoices faster with the scan and recognize solution and approval is done efficiently through the Whitevision Workflow . There’s no paper involved and we don’t have to send emails back and forth. We can put information directly into 4PS Construct (Navision), where we also handle purchase invoice processing.” Tip; if you want to know how much time you can save, simply fill in the calculator on the Whitevision website. The contrast with the previous way of working is great: “Before, we collected receipts and sorted invoices into stacks. Then each invoice was stamped and we had to find the right receipts to go with it. Once the invoice was booked, it was put into a folder for approved but not yet paid invoices. After payment, we had to move the invoice to the folder for paid invoices.” This cumbersome way of working is now a thing of the past: “Digitally this is much faster. The use of Whitevision has proven that. When an invoice is recognized and has gone through the Workflow, it goes out of the Workflow. All information generated during the process, such as comments on the invoice, is attached to the invoice in the form of annotations and stored in 4PS Construct. As a result, we have a clear digital archive.”
“When we started Whitevision in 2010, we started by scanning and recognizing purchase invoices from a smaller administration within our large administration. From there we expanded everything further and further,” says Laurens. Initially Trebbe worked with another ERP system, but in 2012 the company switched to 4PS Construct. “We were so enthusiastic about our scanning and recognition solution that we didn’t want to lose it. That’s why we asked if Whitevision would link it to 4PS Construct (Navision).” As a customer-oriented company that always anticipates new developments, Whitevision was sympathetic. “This is how we became the first 4PS Construct (Navision)-Whitevision customer.” As a pioneer, Trebbe found the initial phase very exciting: “Now the link is completely established, but at the time it was new. Because purchase invoice processing in a new system has to run well right away, this was quite risky for us. But in the end it worked out very well.”
The contact with Whitevision was pleasant from the beginning. Laurens: “Around the implementation, the account manager regularly came to our office to hold various sessions. That went very well. He was able to explain things clearly and was able to empathize with us. The system is also very user-friendly, so we didn’t need Whitevision’s support department very often. But when we did, they were always quick to respond.” Halfway through last year, Trebbe decided to move away from the barcode sticker system. “In that too, we had guidance from a good, knowledgeable consultant. He spent half a day with us to complete an action list point by point with us. Most of the issues he solved on the spot. So that went perfectly.”
Recently, Whitevision organized “Meet the Experts,” a meeting where new developments were presented. “A lot of things came up there that I thought: we should have that too,” says Laurens. “I find it very positive that occasionally Whitevision just devotes an entire afternoon to showing the possibilities.” It is one of the reasons why Trebbe definitely wants to continue working with Whitevision. But also the fact that Whitevision continuously responds to new market developments is an important factor: “Whitevision is always looking for opportunities for optimization. For example, we are very positive about SMART-OCR, which we were able to pick up in the last year. With this we were able to make a significant improvement. There are also a lot of things coming up that we need to deal with, such as XML invoices and possibly blockchain. We’d like to do that with Whitevision.” Laurens does not feel that other parties have a better solution that he would take advantage of. “With Whitevision, I really see opportunities to make things even better and more efficient.”
