Selfbilling

Working with external partners involves a lot of administrative work. With selfbilling, you can keep track of everything and invoicing is automated: once hours and expenses are approved, the invoice is generated automatically.

Billing models

We offer three different invoicing models, so you always remain in control of your financial processes. Whether you’re dealing with self-employed contractors, temporary staff, seconded staff or suppliers, our models enable you to organise your invoicing efficiently and clearly.

You save time because many manual tasks are automated; you retain control because everything is recorded and monitored centrally; and payments are always processed quickly and accurately. This not only brings peace of mind to your administration, but also creates a reliable and transparent invoicing process within your organisation.

Selfbilling model EN

Selfbilling model

Organisations that hire self-employed professionals or suppliers for their own projects often encounter errors and delays in invoicing. With our Selfbilling model, the verification stage is brought forward: first, all hours and costs are approved; then your organisation automatically generates the purchase invoices on behalf of the self-employed professional, along with the corresponding sales invoices. Both sales invoices and self-billing invoices can then be sent by email or via Peppol.

This means payments are processed more quickly, invoices are always accurate, and you retain a complete overview of all invoicing flows. This invoicing model is ideal for working directly with self-employed contractors and offers flexibility, without suppliers having to send invoices themselves.

Selfbilling Intervention model EN

Intervention model

Intermediaries who bring suppliers and clients together often have to deal with complex invoicing processes and commissions. When invoicing using the intermediary model, two invoices are automatically generated: one on behalf of the self-employed person to the intermediary, and one to the client, including the intermediary’s margin.

This ensures the process runs efficiently and without errors, whilst keeping the administrative burden to a minimum for both agents and self-employed professionals. This model is ideal for sectors where VAT is charged and makes it easy to keep track of payments and commissions.

Selfbilling 3 party model EN

three-party model

In sectors such as healthcare, education and other large organisations, clarity and transparency are crucial, particularly when several self-employed contractors or suppliers are working at the same time. When invoicing using the three-party model, three invoices are issued: one on behalf of the self-employed contractor to the intermediary, one for the intermediary’s commission and one for the payment to the self-employed contractor.

Furthermore, where there are multiple invoices, a summary invoice can be created, in which all the underlying invoices are clearly grouped together for the intermediary and, where applicable, the self-employed person. Commissions are fully transparent and everything is set out in the contract. Direct invoicing also makes it possible to issue VAT-exempt invoices in sectors such as healthcare.

Frequently Asked Questions

Hoe bespaart selfbilling tijd?

Selfbilling in 3 steps

Approve hours and costs

All hours worked, expense claims, and costs are checked and approved before an invoice is created. This ensures that everything is correct and eliminates errors and credit notes.

Generate invoices

Based on the approved hours, Selfbilling automatically creates purchase invoices on behalf of the freelancer or supplier. For intermediaries, the system also generates sales invoices including commissions, while large organizations can bundle them into a clear collective invoice. These invoices can then be sent by email or via Peppol.

Processing payments

Once invoices have been created correctly, payments are processed quickly and without errors. Freelancers, suppliers, and end customers all receive the correct invoices, and you retain complete oversight of the invoicing process.

Whitevision customers. You are in good company.
