AI has become an indispensable part of administrative processes. Documents are automatically recognized, data is extracted, and posting suggestions are becoming increasingly sophisticated. But the next development is already on the horizon: agentic AI. AI has made that process smarter in recent years. Systems can recognize patterns, learn from previous entries, and flag discrepancies.

Agentic AI takes it one step further. An AI agent can combine various information sources and checks to perform a task independently. Suppose an invoice comes in. Instead of just extracting the data, an AI agent can, for example, check:

  • Is this supplier well-known?
  • Does the account number match the one on previous invoices?
  • Does the amount fall within the normal range?
  • Is there a corresponding order or agreement?
  • Does the invoice differ from previous transactions?

Based on that, the system can determine what needs to happen next. For example, a normal invoice can be processed automatically, while an unusual invoice is flagged for manual review. This shifts the role of AI from that of an assistant to that of an active participant in the administrative process.

Why Simply Recognizing an Invoice Is No Longer Enough

This development comes at a crucial moment. Generative AI is making it increasingly easy to produce professional texts, documents, and images. While this offers many opportunities, it also creates new risks.

For example, an invoice may look completely legitimate, even though certain details have been altered. The same applies to an email that purports to request a change in bank account number. This makes it increasingly difficult to visually verify whether a document appears “genuine.” For finance and procurement departments, the question is therefore becoming less about whether we have interpreted the information correctly. What’s becoming more important is: Does the information make sense within its context?

To achieve this, automated validation, supplier verification, and anomaly detection are essential. A system must not only know what is on an invoice, but also be able to compare this information with other available data.

Consider supplier data from the ERP system, previous invoices, purchase orders, or known payment details. It is precisely by combining different sources that discrepancies can be identified more quickly.

AI as an Additional Layer of Control

That doesn’t mean, however, that an AI agent has to make every decision on its own. Control remains important, especially within financial processes.

The strength of agentic AI lies primarily in its ability to automatically perform checks that employees would otherwise have to do manually over and over again. The system can analyze large volumes of transactions and focus on situations that actually deviate from the norm.

This aligns with the trend toward touchless invoice processing: automating standard processes as much as possible and having employees intervene only when an exception arises. For example, when a supplier suddenly uses a different account number, an invoice amount deviates significantly, or no matching order is found. In such cases, the employee no longer checks every invoice, but focuses primarily on the exceptions.

Smarter record-keeping also means more secure record-keeping

The promise of AI in finance and procurement is often linked to efficiency: less data entry, fewer manual checks, and faster document processing. Agentic AI adds an important dimension to this: reliability.

By combining recognition with validation, pattern recognition, and automated checks, software can detect issues earlier. As a result, automation shifts from simply taking work off people’s hands to actively supporting a reliable administrative process. This makes AI valuable not only for increasing speed but also for helping organizations make their processes more manageable.

From automating as much as possible to targeted monitoring

The arrival of AI agents does not mean that finance and procurement professionals will soon disappear entirely from the process. On the contrary, their role is shifting. Software is increasingly capable of performing standard checks and combining information. People will continue to be needed for exceptions, judgment calls, and situations where context or responsibility plays a role.

The most important question for organizations, therefore, is not: How do we automate every task? A more interesting question is: Which decisions can AI reliably prepare or execute, and when do we want an employee to be involved? Those who can strike the right balance will be able to design administrative processes that are not only more efficient, but also smarter and safer. And that may well be the most important step in the transition from AI assistant to AI agent.
