Processing procurement invoices digitally: why does it offer so many advantages for construction?

The construction process is unique. The physical separation between the company organizing the work (the contractor’s office) and the place of production (the construction site) is not seen in many industries. Unique projects: uniform purchase invoice processing required

Because the vast majority of construction projects are unique, you are constantly dealing with different products, suppliers and commercial agreements. This diversity means you need one solution that can handle it all: you want to capture the diverse flow upon receipt of purchase invoices or receipts as quickly as possible and convert them to a uniform workflow that is suitable for you and your organization. Not only incoming invoices, but also attachments you need to be able to easily process in one system. In addition, it’s important that you can process both paper invoices and documents in a DICO Standard format in this. And ideally, you want invoices received by e-mail to be processed directly from your inbox, so you don’t have to worry about it.

Invoice control: complete capture

Because ordering and delivery of items take place in different places (the office and the construction site, respectively), it is difficult for the administration department to review invoices. To ensure that costs incurred are recorded on the correct custodial items, you want to book invoices received into your records as quickly and completely as possible – including all associated information, such as performer’s or delivery notes sent as attachments.

Large-scale projects: simple, spot-independent approval

Especially in construction, where you often deal with large projects, careful monitoring is indispensable. But usually the responsibility for substantive monitoring of incurred costs lies with colleagues who are not in your office. Indeed, often they are on the other side of town (or even in another province) working on the construction site. For the final settlement of a purchase invoice it is therefore important that you have a reliable approval system that you can use quickly, easily and location-independent.

Practical people: delivering information in the right way

Professionals and creatives are not always handy with numbers and figures. But they can very quickly provide the information you need to capture data properly in your systems, provided you ask them the right questions. Want to know more about a particular invoice? Then give them practical information, such as the picture of the invoice or the delivery slip the person signed. And make sure they have easy access to this information – via computer, tablet and phone, for example. This way you can be sure that you will get reliable feedback on purchase invoices you have booked.
