The need

Initially Hendriks group worked with another solution for processing purchase invoices. This had its limitations. The result was that the processing, approval and archiving of invoices was not optimal. Moreover, Hendriks group found it difficult to keep customer information up-to-date. It happened more than once that an invoice amount ended up on an old bank account number because the new data was not included in the system. This had to and could be improved. Hendriks groep went looking for a solution that would reduce the paper flow and would check the data of suppliers.

The solution

First, Hendriks group switched to a new ERP system, 4PS. Since Whitevision and 4PS have a close partnership, Hendriks group requested a demo of the purchase invoice processing solution. To really see it in action, the company provided 31 “tricky” invoices – the old system had not recognized them. During the demo, Whitevision was able to process 30 of these invoices without any problems. The high recognition rate as well as Whitevision’s knowledge and expertise were the deciding factors: Hendriks Group decided to implement the solution.”

The benefits of Whitevision

When Barry compares Whitevision to the way it worked five years ago, he sees a huge difference. “Back then, we processed purchase invoices largely manually. For us, invoices are usually bulky: they consist of several pages and usually have attachments, such as packing slips. When we had stapled 25 pages, the packages went to the approvers via internal mail. Often they ended up in bins and got lost – resulting in angry suppliers. Once the invoices were approved and paid, we also had to clean them up manually.” All those operations have become unnecessary with Whitevision. “Now the invoices arrive in a separate mailbox. In this, I check whether the incoming messages actually contain invoices – sometimes there is a spam message or payment reminder among them. The system scans the invoice, recognizes the data and determines which supplier it’s from. All that happens in the cloud; I don’t have to do anything for it. After processing at the administration, the invoice goes around the organization using the Whitevision Workflow. So approvers can easily do a check on the costs and approve the invoice. And invoices never get lost again!”

Once Barry runs into a question or problem, he can fall back on a team of experts. “Such an issue I shoot in through Whitevision’s customer portal. Shortly afterwards, I am called and helped further. That works very pleasant, especially since Whitevision has a considerable number of employees, all of whom are specialists in their field. Moreover, the organization offers excellent service. In general, the team is young, dynamic and informal. I have a click with that. Whitevision doesn’t sell hot air and has a hands-on mentality.
