The need

Dura Vermeer’s Construction and Real Estate division was working with an automation solution for processing procurement invoices, but it was fairly dated. The team wanted to work with OCR software that allows for the application of control fields and pre-checks data to avoid human error. Therefore, the division began looking for a partner that could meet these conditions.

The solution

Because Dura Vermeer’s Maintenance and Renovation division was already using Whitevision, the company was familiar with the solution. But the Construction and Real Estate Division did not make a hasty decision She looked at several options and put them side by side. Ultimately, Whitevision turned out to be the solution: it was possible to incorporate Dura Vermeer’s wishes, and it would be easy to enthuse employees to make the switch. After all, they had already heard about Whitevision from colleagues.

“With Whitevision, we have made a significant efficiency improvement,” says Armand Prahladsingh, employee at Dura Vermeer’s Financial Service Center. He is responsible for accounts receivable, accounts payable, general ledger management, process management and reviewing processes. “The emails are automatically read from the invoice mailbox. The SMART-OCR software then fills in fields automatically based on advanced recognition. It is convenient that the system is self-learning: if a field is not filled in once, you can click on it so that the software will recognize it the next time!”

During the implementation, Whitevision fulfilled a special request from Dura Vermeer: “We asked if Whitevision could set higher security for fields. If our mandatory fields are not recognized, the software must ensure that we cannot pass the invoice. Actually, this is a kind of extra check so that we never have incorrectly entered invoices. In practice this appears to work well, so we are very happy with that.”
The Construction and Real Estate Division has now been using Whitevision for two months. It has since submitted some new requests for customizing fields to Whitevision.

Although these cases are currently ongoing, Armand can already clearly name Whitevision’s added value. “We had to get used to the program for a while, of course, but we really notice the return now,” he says. “Because of the automatic recognition, we work faster. And we have noticed that the documents look better than before. The solution also produces better quality results: we make fewer mistakes.”

How exactly did Whitevision achieve the latter? “In two ways: through the control fields that Whitevision built in for us and the amount fields that you can use as calculators. Also, the posting lines indicate a residual balance. That way you avoid human error.”

Whether Armand would recommend Whitevision to other companies? “Yes certainly! We looked closely at the options before we chose Whitevision. After all, we wanted to find a supplier that could really meet our needs. That turned out to be more difficult than we thought, partly because we work with general contracts as well as project contracts. The latter contract type can be different for each project.”

What made the search even more complex was the fact that Dura Vermeer wanted to build in certain controls: “We even considered not outsourcing the process. But Whitevision proved to be a reliable solution. So compared to other programs, I would definitely recommend Whitevision.”
