Eneco eMobility

As a charging service provider in the Netherlands, Belgium, Luxembourg and Germany, Eneco eMobility provides all services related to electric cars. Business and private customers can turn to the company for tailored advice as well as for the installation of charging stations, hosting, maintenance and service in case of malfunctions and problems. In 2007, Eneco eMobility started as an ‘Electric Charging’ department within Eneco, but since 2018 it has been a 100% independent subsidiary.

The need

Initially, Eneco eMobility’s accounting was done by parent company Eneco. But when the company became 100% independent, it was able to choose its own systems. The goal of Eneco eMobility: to automate all manual work to save time and minimize error proneness. Therefore, in the last quarter of 2018, the company implemented a new ERP system: AFAS. But the administrative process could be even more optimal. So Eneco eMobility also started looking for a suitable solution for purchase invoice processing.

The solution

During the implementation of the ERP system, AFAS indicated that partner Whitevision’s solution would be a very good fit. With this recommendation in its pocket, Eneco eMobility further investigated Whitevision’s capabilities and pricing. After attending a demo, the company was convinced: the demo was clear and the implementation time was short, allowing the financial administration to quickly start processing purchase invoices digitally. With such a positive business case, Eneco eMobility found it unnecessary to go through a long comparison process. It chose Whitevision.

“We have been using Whitevision since this spring and have noticed that the process is much faster,” says Pieter Noorman, product manager of electric charging at Eneco eMobility. In recent months, the employees in the financial administration have been able to focus much more on tasks that are more important than input work. “We are going more and more abroad and for that we have to rig things up financially. Growing hard is our goal. Whitevision helps us with that. Because we use the solution, we don’t have to do any work that I categorize as ‘corvee’. We can be doing the right things.”

“If you set up the system right, it won't make mistakes.”

Pieter considers error prevention a major advantage of Whitevision. “If you set up the system properly, it doesn’t make mistakes,” he explains. “We used to have to deal with that. Logical, because when you have to enter hundreds of invoices, it doesn’t always go smoothly.” The people currently working in the finance department have never had to enter invoices manually. But Pieter knows how this goes: “The difference between that process and our current way of working is very big. We are much more efficient now. When a purchase invoice arrives in our mailbox, Whitevision pulls it out to book it into AFAS. We have certain general ledger and balance sheet accounts linked to specific suppliers. Whitevision books the invoice into the correct account and makes it payable immediately. The invoice then ends up in a bin for the appropriate person to review. After approval, we proceed to payment. At such a point, we know for sure that Whitevision has entered the invoice into our system completely correctly.”

“Whitevision switches gears immediately and communicates clearly”

Pieter experienced the implementation of Whitevision as a very fine process. “WhiteVision offered us very good support. It also went nice and fast. After one or two days we could start working with the solution.” In practice, working with Whitevision went smoothly, partly because the integration with AFAS is very good. “We haven’t needed Whitevision’s support department yet,” says Pieter. “Currently we are actually running completely independently. There was one time when the system didn’t work so well, but Whitevision informed us immediately. Very nice, because through clear communication we knew there were technical problems. When these problems were solved, Whitevision also gave a very clear explanation of the cause and offered its apologies. I really like that direct communication.”

“Excellent system, good value for money and excellent AFAS connection”

When Pieter thinks about the future, Whitevision certainly has a place in it. “What matters primarily is the solution – and it just works very well. For us, there is a very positive business case attached to Whitevision. The value for money is in order, the system runs excellently and the link with AFAS is excellent. In such a case I say: please keep running!” Whether Pieter would recommend Whitevision to others? “Definitely. Of course, I can only speak from my experience with the Whitevision-AFAS combination. That one is very nice. But if an organization uses a different ERP system, I would say: absolutely look at whether Whitevision is suitable for that as well. I myself have no experience with any other coupling, but I would really recommend Whitevision as a solution.”
