Aveco de Bondt is an independent firm which designs and implements future-proof solutions for national challenges, but also for specific environmental or organizational issues. The organization aims to create a positive impact on everyone’s living environment. It helps governments and market players with issues relating to water, climate, infrastructure, construction and sustainability. Aveco de Bondt researches, designs and advises on approaches and policies and supports projects in their implementation. In addition, the firm is active within current themes. Think of the Environment Act, circular economy, asset management, climate adaptation and (traffic) safety.

The need

After using Whitevision’s basic package for some time, Aveco de Bondt thought it was time to optimize further in 2021. Back then, purchase invoices arrived in the invoice mailbox. Administrative staff would open the PDF document, drag it to a folder on the hard drive and put it into the correct records. They repeated this process twice a day. When they had collected all the invoices, they opened Whitevision to import the folder. Then they opened AFAS to upload the invoices. This was certainly more efficient than manual purchase invoice processing, but Aveco de Bondt wanted to perform fewer operations. And the firm knew it could turn to Whitevision for this too.

The solution

When Aveco de Bondt submitted its request to Whitevision, things moved quickly. This client’s Whitevision consultant looked into the request, gave a demo of the extensive Whitevision solution and highlighted the differences between the current and possible future ways of working. The process went very smoothly and clearly, allowing Aveco de Bondt to sort out the pros and cons very quickly. The firm soon tied the knot – in September 2021 it launched the expanded Whitevision solution.

“Whitevision has given us even more efficiency and speed,” says Paulien Freriksen, administrative assistant at Aveco de Bondt. “In addition, the risk of errors has been further reduced. My role shifts from data entry to checking documents.” Colleague Gilian Brouwer, administrative assistant and assistant controller, concurs: “It used to be that duplicates would occasionally appear in our accounting package. And certain invoices still needed a bit longer processing time. Of course, we were already using Whitevision to work more efficiently – the basic package ensured that the PDF version of an invoice was entered into our ERP package AFAS. This gave us more time than before to think about further optimizations. But at some point we wanted more. We started talking to Whitevision to see if we could integrate our other booking processes into the solution. That turned out to be quite possible. Actions that we still had to think about in our old work, the program has now automated for us as well!”

With the efficiency drive in 2021, Aveco de Bondt has further automated the procurement invoice processing process. Now that the agency uses Whitevision’s SMART E-mail handler, for example, the invoice mailbox is automatically read. A crucial advantage, if you ask Paulien: “Purchase invoices now end up in a general bin in Whitevision. There you pick up an invoice, which you assign to yourself. The rest is completely automatic, because Whitevision’s self-learning OCR software has high recognition.” “We’re really satisfied with that,” Gilian says. “Whitevision sees at a glance whether creditor data is correct. It recognizes certain invoice headings and links invoice data to the information known in AFAS. The system also sees which general ledger account you used last time. And if for once it doesn’t recognize invoice information right away, you can train it. Because Whitevision is self-learning, it remembers what you enter for all subsequent times.” The implementation phase was very structured. Aveco de Bondt had worked out all kinds of scenarios in advance to learn what the program could do. “Think of transitory bookings, which you want to distribute over several months,” Gilian explains. “From Whitevision, that possibility exists. And the link with AFAS is very good. Our Whitevision consultant was in the office for two days AND guided us remotely for a while.” “He didn’t close the project until everything was fully working,” Paulien says. “He guided us from a to z and quietly took the time to answer our questions. Sometimes he would ask for feedback from the Whitevision team and then give us feedback. As a result, the setup and training process went extremely well.”

Gilian found the informal contact with the consultant – before and after the implementation – to be very pleasant: “You’re taking on something pretty big, so you really need that. Whitevision understands that and offers the guidance you’re looking for. We really trusted our Whitevision consultant. If he didn’t advise something, he could say so freely. I really liked that.” Incidentally, this was in line with the expectations that had arisen in the demo phase. Paulien: “It is clear that Whitevision is not a superficial sales pitch. After all, it delivered on all its promises!”

Whether Gilian and Paulien would recommend Whitevision? “Definitely!” they say at the same time. Gilian explains, “Mainly complicated, large invoices with lots of cost centers are now booked very easily, quickly and efficiently. We no longer have to do this manually. And that saves an awful lot of time and effort.” “Whitevision is also a very pleasant company to work with,” says Paulien. “As a customer, you get personal attention. Moreover, we notice that Whitevision is continuously working on further development and innovation. Small changes are made that we as users are very happy with.” Gilian concludes, “Whitevision is a fine cooperation partner that innovates and moves with the future. As long as this continues, we will continue to work with the solution!”
