De Zellingen

The Zellingen focuses on people who need support, guidance, care or nursing for a short or long period of time. The organization wants to help them maintain their independence for as long as possible. Ideally, it wants people to stay at home – in their own environment. If that is not possible, De Zellingen wants them to be in a care environment where they feel at home and safe. Nearly 1,300 employees and 500 volunteers provide this care in all districts of Capelle, Krimpen and Nieuwerkerk aan den IJssel. From various locations and through home care. De Zellingen also provides such care in cooperation with various healthcare professionals, research institutes and social organizations.

The need

When De Zellingen switched to ERP package AFAS, it concluded that a link to a good scan and recognition solution would be indispensable for an efficient purchase invoice processing process. The organization wanted to avoid manual tasks such as over-typing at all costs. It therefore set certain conditions for an OCR system. It had to retrieve purchase invoices from the invoice mailbox, have a high recognition rate, be self-learning and match purchase orders. With this clear list of requirements, De Zellingen started looking for the right automation solution.

The solution

The Zellingen didn’t go overnight. The organization explored the pros and cons of various solutions. It carefully compared options, flexibility and costs. After demos from several OCR parties, De Zellingen concluded that Whitevision had the most options to offer. Specific requests could be accommodated without much customization and additional cost. After a well-thought-out process, De Zellingen decided to go with Whitevision.

All we have to do is review the proposed entry.” Hillian Hekkert, manager of payroll and financial administration, adds: “Basically, the system fully recognizes an invoice. In that case, you don’t have to adjust anything. But if it doesn’t recognize certain invoice data right away, you only have to train it once. Because Whitevision is self-learning, it remembers this for subsequent times. Moreover, the software alerts you to unusual items. That’s very handy!”
