Heras Mobile Fencing

In 1952, Heras was founded as a small Dutch family business specializing in fencing and gates. Since then, the company has developed into a leading European total supplier of perimeter protection solutions. It operates from eight countries and employs more than 1,100 highly trained experts. Looking at Heras, we can distinguish between permanent fencing (Heras BV) and temporary fencing (The Mobile Perimeter Protection or Heras Mobile Fencing). The customer case is about the use of Whitevision within the latter branch, Heras Mobile Fencing. This branch is best known for construction and event fencing.

The need

Where is an invoice currently located? And what is its status? These questions were not easy to answer at Heras. The financial administration was circulating invoices on paper for approval. As a result, there was a lack of oversight. The fact that invoices were archived in the archive at the parent company did not make searches any easier: finding an invoice usually took a lot of time. This could be done more efficiently, the company thought.

The solution

In late 2015, Heras finally chose Whitevision. The company was convinced that the software would solve the existing problems surrounding procurement invoice processing. Moreover, the system was very user-friendly – a big plus in Heras’ eyes.

“What I love about Whitevision is that it provides an awful lot of overview,” says Danniëlle Vogels, controlling support at Heras. “We now always know which invoice belongs to whom. We used to keep track of this with a list, but that was a lot of work. And hardcopy can always get lost. Moreover, we needed a lot of physical storage space. After all, you have to keep invoices for seven years. That generates a lot of paperwork! In our case, the documents also went to the archive of the then parent company. Postprocessing was therefore a drama: we had to contact them and request the relevant box, which then had to be searched.” Now things are a lot easier: “At the touch of a button, we find out where an invoice is and what its status is. And because Whitevision is a very user-friendly system, we always know exactly where we need to be. Very convenient!”

Because Heras works with different companies in several countries, there was previously no uniformity within the organization. “Many teams tackled things in their own way,” says Danniëlle. “After we made a digitization effort, that changed. We now have much more grip within the organization because administrative processes are very streamlined. Whitevision has helped with that tremendously.” Processing purchase invoices now goes very smoothly: “When an invoice comes in, it is automatically recognized by Whitevision’s smart OCR software. This works very efficiently and reduces the risk of error. We only need to perform a check and record the invoice in our accounting package. Then the invoice goes through the workflow for approval. Then we book it into our financial system and it is immediately archived. Very nice!”

The fact that Whitevision offers a comprehensive solution is very positive, according to Danniëlle: “In the beginning, of course, you have to get to know the system, but fortunately it is very user-friendly. Whitevision really makes things easier. An example: when I view my costs in our ERP system 4PS Navision, I can immediately open the invoice behind it. The link with Whitevision is really seamless.” In addition, Danniëlle likes the fact that Whitevision is stable: “The solution just works really well. And áf we ever run into something, Whitevision solves it in no time.” Incidentally, it became clear during the implementation that Whitevision is a customer-friendly company: “The communication was very fine. Whitevision is not a massive organization where you have to tell your story over and over again. The atmosphere feels very familiar and pleasant. You can always contact the support team. And if you contact them for a second time about a particular question, the team still knows what it’s about!”

Whether Heras wants to continue working with Whitevision for the time being? “Yes certainly,” Danniëlle says firmly. “Indeed, I think we would like to expand the solution in the future.
