The need

When Van Wanrooij decided to switch to ERP system 4PS, the company wanted to find a scanning and recognition solution that would work seamlessly with it. It was already working with an OCR system, but this did not partner with 4PS – and proper integration was crucial. Moreover, Van Wanrooij was in need of renewal. Therefore, it started looking for an alternative.

The solution

Van Wanrooij immediately came across Whitevision. The excellent partnership with ERP supplier 4PS greatly appealed to the company. The costs turned out to be within budget and in the corridors users told very positive stories about Whitevision. A demo convinced Van Wanrooij that Whitevision would definitely be an improvement on the way of working at that time. No more decision-making process followed – the company simply took the step to work with Whitevision.

“With Whitevision, we process incoming invoices at lightning speed,” says Theo van den Dungen, who works in Van Wanrooij’s finance department. He supervised the implementation of Whitevision from the financial side. “Before, we had to perform many manual actions in the processing process, despite the fact that we were using an OCR solution. This was because it did not link well with our ERP system.” Colleague Joep Kenter, application manager at Van Wanrooij, explains how Whitevision skillfully minimized manual, repetitive work: “The system is linked to our invoice mailbox and reads the files. The automatic recognition saves us a lot of efficiency and time!”

How does Van Wanrooij notice that the purchase invoice processing process is much smoother with Whitevision? Theo: “We have trained the self-learning OCR system as much as possible. We notice this because it now recognizes most of the data immediately and reads it in flawlessly. We only have to check the information briefly, after which we enter the invoice. It then enters the Whitevision Workflow.” According to Joep, this makes the approval process a lot easier than before: “Whitevision makes a first move by indicating which persons have to approve an invoice. Once you have set this up properly at the front end, you practically don’t have to think about this anymore. That used to be necessary – then we had to indicate who the approvers were each time for each invoice.”

"Excellent linking and implementation of a user-friendly system"

The link with ERP system 4PS works very well in practice. “As a customer, you really benefit from the partnership between Whitevision and 4PS,” says Joep. “With many links, the customer gets the brunt when one of the two systems gets an update. Often you then have to hire an expensive customization consultant to straighten everything out. But Whitevision takes care of this excellently with 4PS, so as a customer you don’t have to worry about it.” Moreover, Whitevision’s implementation and commissioning went very smoothly. “The test environment contained everything we had learned so we could easily refer to it,” Theo says. “We were also able to get up and running with the system quickly. I really liked that, because it’s important to put all the theory into practice.” And Van Wanrooij experienced these first steps as very positive. Joep: “The look and feel of Whitevision were really an improvement. Shortly after going live, I heard from several people that they found it much easier to approve invoices. The interface plays an important role in this. As a result, the system is very user-friendly!”

"Whitevision's support department really sticks out."

Van Wanrooij is very pleased with Whitevision’s support. “I deal with several support departments and I think WhiteVision’s really stands out,” says Joep. “The response times are good and the support staff likes to think with you.” Theo adds that this attitude of Whitevision became evident very quickly: “Both in the preliminary phase and after the implementation we could schedule certain moments to ask questions to our Whitevision consultant. That was very pleasant!” All in all, Theo concludes that the financial administration works a lot more efficiently and nicely with Whitevision. He would therefore definitely recommend the solution to other companies that have 4PS as their ERP system: “The link really saves us a lot of time and work.” Joep adds, “If you ask me, we will definitely continue to work with Whitevision. It’s a good solution and the cooperation with Whitevision is very nice!”
