Van Dillen Bouwgroep

Van Dillen Bouwgroep includes 4 production companies, each with its own identity and discipline. These production companies employ 120 colleagues and turn an annual turnover of +/- 45 million. Van Dillen Bouw BV is the traditional contracting company and has existed since 1724. This is the basis for the Van Dillen Bouwgroep and handles large-scale maintenance/ and renovation projects, particularly for housing corporations, as well as new construction, rebuilding and utility construction. The second production company, Van Dillen Onderhoud Beheer BV, is set up for daily/ and mutation maintenance where repair requests from tenants are handled quickly and professionally. When a tenant leaves their home and it needs to be freshened up again, this work is also carried out by us. This business unit also takes care of warranty work for our projects carried out by van Dillen Bouw. In addition, van Dillen Bouwgroep has a joinery – the third production company – which produces hardwood windows, doors and frames for both its own projects and for third parties. From the fourth production company, Prefab fabriek Culemborg BV, Prefab sells and assembles sustainable (facade) elements and energy-neutral homes. The Van Dillen Bouwgroep also has its own equipment service.

The need

Van Dillen Bouwgroep had been using a solution for digital processing of purchase invoices for 2 years when it switched to ERP system 4PS Construct. Wanting to avoid disruptions in the process, the company started looking for a proven solution from a reliable partner – a preferred supplier of 4PS. The name “Whitevision” quickly came to mind in response.

The solution

Even though a solution for digital purchase invoice processing was not new to Van Dillen Bouwgroep, it needed to become familiar with a new product. Above all, the company wanted to know exactly how Whitevision worked and how it differed from the solution used up to that point. That is why Frank de Wit, director of Whitevision, came by to give a demo. Van Dillen Bouwgroep immediately saw that this solution offered more possibilities and could therefore be useful in the future. The decision to start working with Whitevision was quickly made!

“Whitevision has saved us a lot of time,” says Erik van IJzendoorn, process manager at Van Dillen Bouwgroep. “Purchase invoices come to us digitally. We have agreed with our suppliers that they send invoices to a certain mailbox. Whitevision reads this mailbox and prepares proposal entries. We don’t have to do anything for that ourselves.” In addition, Whitevision’s solution has improved quality: “Whitevision has a verification function that checks things like Chamber of Commerce number and bank account. This means that any fraudulent invoices are detected more quickly. There is much more to the solution than an employee could perform step-by-step when processing paper invoices.”

A major advantage of Whitevision is that van Dillen Bouwgroep no longer has cabinets full of invoices. Erik: “You store digital files in a digital archive that you can easily search. No piece of paper is involved anymore! Project managers, who are responsible for the financial ins and outs of a project, regularly use this function. For example, when they come across items that deviate from expectations. It is very easy to then just pull out a digital invoice on the screen to check it.” Approving purchase invoices is also a lot easier with the Whitevision workflow. “With our previous solution, this was not as extensively set up, so we ran into limitations. Now the approval flow is completely in Whitevision. This has increased the speed of the processing process even more.”

Van Dillen Bouwgroep almost never needs to call on Whitevision’s support team. “That’s a compliment, because it shows how well the product works,” says Erik. “When we do call in support, it’s usually because we need a refresher on a particular feature or want to communicate new requirements. Whitevision handles these kinds of issues quickly and just fine.” In addition to the fact that Whitevision is a stable product, it also carries the potential for further development: “Whitevision is doing a lot to stay ahead in an ever more digitizing world. In doing so, it focuses on certain industries. I think that is the great strength of the solution: it responds perfectly to the specific needs of the construction and installation industry. Our industry is slightly different and Whitevision has listened very carefully to all parties involved. This is reflected, for example, in the fields that feature prominently in the software.”

Like Whitevision, Van Dillen Bouwgroep likes to be ahead of the curve. “That’s why the future-oriented nature of the solution appeals to us so much,” Erik says. “As we process our procurement invoices – about 25,000 a year – we see that Whitevision is busy developing. For example, they are currently working on a solution regarding service orders. We are not using that yet, but we are sharing our insights with Whitevision’s product owner.” That the introduction of renewals does not cause any disruptions is also a very positive point for Erik: “Of updates you don’t notice anything as a user. Many people do not realize it, but it is almost impossible to express in words how important it is to have a stable solution that just works well.” Van Dillen Bouwgroep therefore does not hesitate to stop using Whitevision: “I would hate to think of having to process and approve invoices by hand again. For us, Whitevision is an integral part of the organization!”
