What is intelligent document processing?

Intelligent Document Processing is a form of document processing that combines multiple AI techniques to automatically recognize, interpret, and process documents. Whereas traditional solutions are mainly based on OCR and fixed templates, IDP goes one step further.

In traditional document processing, text is recognized and processed based on predefined rules. This works as long as documents have the same structure. In practice, however, this structure often varies: suppliers use different layouts, tables are arranged slightly differently, and information appears in unexpected places. This leads to additional checks and manual corrections.

IDP looks not only at the text on a document, but also at the context. Using machine learning, image recognition, and natural language processing (NLP), the system can determine what type of document it is and what information is relevant. This shifts document processing from “recognition” to “understanding.”

What does IDP deliver in practice?

The main advantage of IDP is that administrative processes become less dependent on manual work. Documents are processed faster and more consistently, reducing turnaround time and enabling errors to be identified earlier.

Take an invoice as an example. An IDP solution not only recognizes individual pieces of data such as the amount, date, or IBAN, but also understands their meaning. Is the IBAN listed with the sender or with the payment instructions? That context determines how the information is processed. This means that even invoices without a fixed layout can be processed reliably.

The same approach can be applied to other types of documents, such as order confirmations, contracts, or expense claims. This allows IDP to automatically recognize order numbers, delivery dates, and amounts in order confirmations and validate them directly against the ERP system. The prerequisite is that the documents are available in digital form. If you already receive documents digitally or via e-invoicing, IDP can add immediate value. In some cases, OCR is no longer even necessary, and the process revolves entirely around interpretation and processing.

In addition to saving time, IDP provides greater control over processes. Fewer manual steps mean fewer errors, better control, and administration that grows more easily with the volume of documents.

What should you pay attention to when using IDP?

Successful implementation starts with the basics: a clear digital document flow and well-designed processes. The more consistent your data and agreements are, the better an IDP solution will perform.

In addition, it is important that the solution is compatible with existing systems, such as ERP or accounting software. Document processing does not stand alone, but is part of a larger administrative process. Integration and ease of use play a major role in employee adoption.

Finally, human control remains important. AI learns from previous processes, but works best within clear frameworks. By identifying exceptions and providing feedback, the system becomes increasingly intelligent without you losing control.
