The need

Paper had long been central to Safety Group’s purchase invoice processing process. Finance manually processed paper invoices and routed them through the company for approval. The process was time-consuming and error-prone. In addition, invoices were getting lost more often than not. When Safety Group switched to the AFAS ERP system, the time was ripe to look for matching scan and recognition software.

The solution

After comparing several scanning and recognition systems, Safety Group concluded that Whitevision offered the best options in terms of processing and accounts payable management. The ability to use the solution in the cloud appealed to the company. The link to AFAS was a deciding factor, as was the training feature of the self-learning system. Safety Group also liked that it could potentially use Whitevision for digital processing of HR and project documents.

“Whitevision has ensured that we need 1 less FTE for purchase invoice processing,” says Suzanne Dollenkamp, financial controller at Safety Group. “As a result, we have more room for other work. For example, we can really focus on accounts receivable management, which we didn’t have as much time for before.” Colleague Hardi Hamad, employee financial controller at Safety Group, adds: “Manual operations, such as uploading invoices into the system, are no longer necessary. An invoice automatically arrives in Whitevision via Outlook, which recognizes by far the most data immediately. This saves an enormous amount of time, but also shifts the workload. Because I no longer have to retype data, I now perform controlling work.”

For Safety Group, Whitevision came at exactly the right time. Suzanne: “We started using the software just before the corona crisis. When we all had to work from home, we were able to do that optimally. Because invoices are always available digitally within Whitevision, colleagues do not necessarily have to be in the office to make scribbles. The digital archive also ensures that we never have to search through folders again. That saves a lot of time!” Hardi additionally sees content improvements: “Now that we’re no longer retyping invoice data, the error rate has been reduced. And we have really optimized our purchase invoice processing process. The latter is also because Whitevision and AFAS work seamlessly together.” Suzanne agrees: “For us, it actually feels like the two programs are one!” The implementation of Whitevision went very smoothly. Suzanne: “Because the road to going live was short, we had to make choices quickly. Our Whitevision consultant guided us very well with this. We also received an excellent explanation of the program. That was very helpful. Because Whitevision is user-friendly, but you have to know a little bit about what things you can fill in where.” Hardi adds: “Our Whitevision consultant trained us very well. During the test phase that followed, we were able to work with the system ourselves. In doing so, we were not left to our own devices. We could go to our consultant with all our questions. In this way, we quickly mastered even the somewhat more complex aspects, such as rules and descriptions.”

Suzanne and Hardi agree that working with Whitevision has been very smooth. “Whitevision provides good support,” Suzanne explains. “For example, recently I wanted to change a user account because the person in question had too many rights. Whitevision then helped us very quickly.” How does the future look? In a word: positive! “We would very much like to continue working with Whitevision,” says Suzanne. “It is a user-friendly program that can continue to help us optimize our processes. After all, Whitevision is constantly innovating. We benefit from every innovation as well.” “Having previously worked with other scanning and recognition systems, I can say that Whitevision really offers a lot of options,” Hardi adds. “And there is only more to come. This means that a lot more will be possible for us in the future. It’s convenient that we can ‘innovate along’ with Whitevision!”
